About the Role

The School Secretary & Receptionist at Fine Arts Preparatory School plays a vital role in maintaining efficient administrative operations and providing a welcoming and helpful presence to students, parents, staff, and visitors. This position involves various administrative tasks, as well as serving as the first point of contact for inquiries and assistance.

Greet and assist visitors, students, and parents with a courteous and professional demeanor, directing them to the appropriate person or department. Answer and route incoming calls, take messages, and provide information in a clear and helpful manner. Manage appointments for school staff and assist with scheduling meetings and conferences as needed.

Accurately enter and maintain student and staff records, attendance records, and other school-related data in electronic systems. Sort, distribute, and process incoming and outgoing mail and packages. Maintain organized and up-to-date filing systems for school records and documents. Monitor and order office supplies, ensuring that essential items are readily available.

Assist with the enrollment process for new students, providing necessary forms and guidance. Maintain accurate attendance records, assist with late arrivals and early dismissals, and communicate attendance-related matters to parents and school staff. Respond to inquiries from parents regarding school policies, procedures, and events, and provide general information about the school.

Maintain a visitor log, ensuring the safety and security of the school by monitoring visitors' entry and exit. Follow established protocols for emergency situations, including assisting with evacuation procedures and notifying appropriate personnel.


  • High school diploma or equivalent.

  • Post-secondary education or administrative training is a plus.

  • Previous experience in a receptionist or administrative role is preferred.

  • Strong communication skills, both written and verbal, with a friendly and professional demeanor.

  • Proficiency in using office software, including word processing, spreadsheet, and email applications.

  • Excellent organizational skills, attention to detail, and the ability to multitask.

  • Discretion and the ability to handle confidential information with integrity.

  • Familiarity with school policies, procedures, and administrative practices is a plus.

  • Regular office hours, with occasional flexibility for evening events or meetings.

  • Interaction with students, parents, teachers, and administrative staff is a fundamental aspect of this role.

  • Additional duties as assigned by school administration.
